Can I run campaigns in multiple markets at the same time?
Yes. You pick your markets at signup, we build the contact list across all of them and run the sequence simultaneously. More markets means more chances of finding the right fit at the right time.
How involved do I need to be once the campaign is running?
Barely. You've approved the sequence, the contacts are lined up, everything runs automatically. Your only job is to respond when an importer writes back. You get a report on the 1st of each month so you always know where things stand.
Why do I need a dedicated domain and separate inboxes?
A fresh domain and inboxes with zero history actually outperform established ones for cold outreach. No baggage, no previous reputation to work around. We configure everything from scratch, exactly the way we need it. And your main email stays completely untouched. The only thing that ever hits your regular inbox is the replies worth reading.
What is inbox warmup and why does it take 30 days?
A brand new email address sending cold outreach gets flagged immediately. No history, no reputation, straight to spam. Warmup fixes that by sending low volumes of normal email first, building slowly over 30 days until the inboxes look like established accounts to every major mail provider. Skipping it is the single biggest reason cold email campaigns fail.
Where do your importer contacts come from?
We're a team of export sales professionals, most of us still active in the trade. The database is our own black book, built over years of direct market experience. Not bought, not scraped. And because most of us are still out there, it gets refreshed continuously.
Can I target specific types of importers, like biodynamic specialists or on-trade only?
Yes, within reason. During onboarding you tell us the profile of your ideal importer, focus, price point, positioning. We filter the contact list accordingly. We can't guarantee every match is perfect, but we get as close as the data allows.
What if I find an importer while the campaign is running in the same country?
That's the goal. Just let us know and we'll remove them from the active sequence immediately. If you sign an exclusivity agreement, we pull the whole country from the outreach. Simple.
Can I remove some importers from the outreach?
Yes, and the best time to do it is during onboarding. Already in contact with someone? Had a difficult past relationship? Just don't want to go there? Flag them and they're out from the start.
What reply rate should I expect?
It varies. Appellation, price point, target market, the strength of your story, all of it affects the number. A realistic range for well-matched outreach in the wine trade is 3 to 5%. One reply in 20 to 30 emails is a solid campaign. Twenty positive replies in a month puts you at the top of the benchmark.
What happens after an importer replies? Do you handle that too?
No, and that's by design. The moment an importer writes back, it's your relationship to build. We forward the reply to your main inbox and step back. You know your wines better than anyone. That conversation is yours.
How long before I see my first reply?
The 30-day warmup means the earliest a reply lands is around week five from signup. Most clients see their first ones in month two, once the sequence has reached enough contacts. This is relationship outreach, not advertising. It takes the time it takes.
Why is there a 6-month minimum?
The sequence runs three touches spread over several weeks, and importers rarely reply to the first one. Some of the best conversations come from the third email. Six months gives the campaign enough time to run across a meaningful volume of contacts and gives you a real read on what the market thinks of your wines. Less than that and you're not seeing the actual results.
What happens at the end of my campaign?
Everything is yours. The reply database, the email sequences, all exported and handed over. The sending domain and inboxes come to you too if you want to keep going independently. Or we run a second campaign, new markets, fresh list. Your call.
